1. Introduction
Quotimize LLC ("Quotimize," "we," "our," or "us") operates Quotimize (the "Service"), a quoting, proposal, and work-order platform used by businesses to manage customer projects and send related communications.
Businesses using the Service may use it to send quotes, work orders, and project updates to their own customers. Those businesses control their customer relationships and the project-specific content they send through the Service.
This Privacy Policy explains how we collect, use, store, and protect personal information and limited Google account data processed through the Service.
The Service is intended for authorized business use and for customers who receive quote or work-order links from a business using Quotimize.
2. Information We Collect
When businesses use Quotimize, we may collect, process, or store:
A. Customer contact information
- Name
- Phone number
- Email address
- Property address
- Internal notes related to the project
B. Project information
- Project scope details
- Measurements and estimating data
- Materials and pricing data
- Project-related notes
C. Photos and files
- Before/after photos and reference images related to the project
- Documents or other files uploaded to the Service
D. Quote and acceptance information
- Generated estimates, proposals, work orders, and pricing
- Quote or work-order status (sent, viewed, accepted, declined, or completed)
Electronic acceptance information may include:
- Typed signature name and signature date/time
- Technical metadata such as IP address, browser user agent, and timezone (when a customer accepts a quote)
- A stored signature file (if applicable)
E. Email delivery metadata (no message bodies stored)
When emails are sent through Quotimize, we store delivery metadata such as recipient summary, provider used, send status, errors, message ID, and timestamps. We do not store email message bodies after sending.
3. How We Use Information
We use the information we collect strictly to:
- Prepare and deliver painting estimates and quotes
- Communicate regarding customer projects
- Generate work orders and internal project records
- Track quote activity (e.g., sent/viewed/accepted/declined)
- Maintain business records and improve internal operations
- Protect the security and integrity of the Service
We do not sell, rent, or share personal information for advertising or marketing purposes.
4. Data Storage and Security
Quotimize is hosted using:
- Vercel (application hosting)
- Supabase (database and file storage)
Customer data and files are stored in secure cloud infrastructure with access restricted to authorized Quotimize LLC personnel and authorized users of the relevant business account. We use reasonable administrative and technical safeguards to protect information from unauthorized access, disclosure, or misuse.
No system is 100% secure, and we cannot guarantee absolute security.
5. Google OAuth & Gmail API Usage
Quotimize uses Google OAuth to allow authorized business users to send quote-related emails through their own Gmail accounts.
Google data we access (with user permission)
- Basic Google account profile information (such as name and email address)
- Permission to send email via the Gmail API
What we do NOT access
We do not:
- Read inbox messages
- Search, list, or download Gmail messages
- Access Google Drive files or Google Contacts through Quotimize
How Gmail API is used
The Gmail API is used solely to send:
- Customer quotes and quote links
- Quote notifications (e.g., accepted/viewed notifications where configured)
- Other legitimate project-related business communications
We do not use Google user data for advertising, resale, profiling, or unrelated purposes.
6. Google API Services User Data Compliance
Our use of Google user data complies with the Google API Services User Data Policy, including the Limited Use requirements. Google user data is used only to provide the Service's core functionality (sending business emails through Gmail) and is not sold or used for advertising.
7. Data Sharing
We do not sell personal information.
We may share information only:
- With service providers that help operate the Service (such as hosting, database, storage, and email delivery providers), solely to provide the Service
- With the business account that owns the customer or project record, solely to provide the Service
- If required by law or legal process
- To protect the rights, safety, and security of Quotimize LLC, businesses using the Service, their customers, or the public
8. Data Retention
We retain customer and project information for business recordkeeping, warranty, legal, and operational purposes. We do not have a universal automatic deletion schedule.
9. Your Rights and Requests
Customers may request:
- Access to personal information we maintain
- Correction of inaccurate information
- Deletion of personal information (subject to business and legal obligations)
